Working with a consultant

What does an ISO consultant actually do?

An ISO consultant assesses your current processes against a standard's clauses, closes the gaps with documentation and training, and prepares your team for the certification audit. At AISO we run gap analysis, build the management system with you, train internal auditors, and sit alongside you through the certification body's Stage 1 and Stage 2 audits until the certificate is issued.

Do we need a consultant, or can we do it ourselves?

Small teams sometimes pass Stage 1 without outside help, but most Malaysian SMEs find the clause interpretation, documentation load, and internal audit cycle heavier than expected on top of daily operations. A consultant shortens the timeline and avoids the rework an auditor would otherwise flag. If you already have a quality manager with prior ISO experience, self-implementation is possible; most companies still find a consultant faster and cheaper overall.

Which certification body should we use?

Choose a certification body accredited by the Department of Standards Malaysia (DSM) or an equivalent international accreditation your buyers recognise, such as SIRIM QAS International or an accredited multinational body if you export to markets that specify one. We are independent of every certification body, so we help you compare pricing, audit slots, and sector experience, then manage the relationship through Stage 1 and Stage 2.

Do you work with companies outside the Klang Valley?

Yes. We are based in the Klang Valley but run projects across Johor, Penang, Kedah, Perak, Melaka, Sabah, and Sarawak, either on site or remotely with periodic visits. Documentation, training, and internal audits can all be delivered online where travel is impractical; we schedule site visits for the parts of the job, like shop-floor observation, that benefit from being there in person.

Can you work in Bahasa Malaysia or Chinese?

Yes. Our consultants and trainers deliver documentation, workshops, and audits in English, Bahasa Malaysia, or Chinese, whichever your production and office teams use day to day. Mixed-language teams are common on the factory floor, so we often run training in one language with written procedures in another, matched to how your workers and auditors actually communicate.

What is the difference between ISO 9001 and ISO 13485?

ISO 9001 is a general quality management standard for any industry. ISO 13485 is built specifically for medical device manufacturers and suppliers, adding requirements for risk management, regulatory traceability, and design controls that align with device authorities such as Malaysia's Medical Device Authority. Companies making or distributing medical devices typically need 13485 rather than, or alongside, 9001.

Is ISO certification mandatory in Malaysia?

No Malaysian law requires ISO certification for most industries, but it is frequently required to win government tenders, supply multinational buyers, or export to regulated markets. Certain sectors, such as medical devices or halal-adjacent food supply chains, face additional regulatory expectations where certification effectively becomes mandatory in practice even without a direct legal requirement.

Cost and funding

How much does ISO 9001 certification cost in Malaysia?

Consulting fees for a typical Malaysian SME usually range from roughly RM8,000 to RM25,000 depending on company size, number of sites, and how much documentation already exists, plus the certification body's separate audit fee. We quote a fixed scope and price after a short gap analysis, so you know the total before committing.

What affects the price of certification?

The main drivers are headcount and number of sites, how many processes the standard's scope covers, how much existing documentation we can reuse, and whether you need onsite or remote delivery. Multi-standard projects, such as combining ISO 9001 and 45001, often cost less together than two separate engagements because the documentation and internal audits overlap.

Are there hidden costs after certification?

The certification body charges annual surveillance audit fees, usually smaller than the initial certification audit, plus a recertification audit every three years. Budget internal time for maintaining records, running internal audits, and management review; BUKTI reduces that ongoing labour by automating reminders, evidence collection, and CAPA tracking so surveillance audits stay routine rather than a scramble.

Is your training HRD Corp claimable?

AISO Management Sdn Bhd is a registered HRD Corp training provider, and our programmes meet HRD Corp claim requirements, covering course outlines, trainer qualifications, and attendance records the way HRD Corp expects. Eligibility depends on your company's HRD Corp levy registration and the specific scheme you apply under, so confirm your eligibility with us before the course so we can prepare the paperwork your claim needs.

Do you offer packages for multiple standards?

Yes. Many clients combine ISO 9001 with 45001 or 14001, or add a second standard once the first system is running, since the documentation structure, internal audit cycle, and management review can largely be shared. We price combined engagements as one project rather than stacking two separate consulting fees, which usually saves both time and cost.

Timelines

How long does ISO 9001 certification take?

Most Malaysian SMEs complete gap analysis through certification audit in three to six months, depending on how much documentation already exists and how quickly your team can implement new processes between our visits. Companies starting from nothing typically sit toward the longer end; companies with an existing quality system can move faster.

How long does ISO 27001 take?

ISO 27001 usually takes four to eight months because the information security management system needs a risk assessment, a Statement of Applicability, and evidence that controls have been running long enough for the auditor to sample real records, not just policies. IT and data-heavy businesses with existing security practices can move toward the shorter end.

Can we get certified in three months?

It is possible for a small, well-organised company with simple processes and an existing set of procedures, but three months is tight for most first-time applicants, because auditors want to see the system operating with real records, not documents written the week before the audit. We will tell you honestly during gap analysis if your timeline is realistic.

What slows certification projects down?

The most common delays are slow sign-off on new procedures, key staff turnover during implementation, and internal audits postponed because of production deadlines. Multi-site companies also slow down when sites are not implementing consistently. We build a written schedule with dates at the start of the project and flag slippage early so it does not surprise you close to the audit.

What happens after we get the certificate?

Certification is valid for three years, with annual surveillance audits by your certification body in between. Your management system needs to keep running: internal audits, management review, CAPA closure, and document updates as your processes change. Consulting clients get early access to BUKTI so this ongoing maintenance is largely automated rather than resting on one person's memory.

BUKTI eQMS

What is BUKTI?

BUKTI is an AI-powered eQMS built by AISO for Malaysian SMEs. It reads your procedures, maps them to the clauses of the standards you hold, and runs the document control, CAPA, internal audit, and management review workflows your certificate depends on, so the system stays alive between consultant visits and surveillance audits.

Do we need BUKTI to get certified?

No. Certification depends on meeting the standard's requirements, which we can help you do with any tools or none. BUKTI is offered to make maintaining the system easier after certification, particularly the document control, reminders, and evidence collection that consume the most staff time; it is not a prerequisite for passing your certification audit.

When does BUKTI launch?

BUKTI is in early access now, with consulting clients onboarded first so we can refine it against real Malaysian audit requirements before a wider release. Register your interest through our contact page and we will let you know when a place opens, along with the standards and languages available at that stage.

Which standards does BUKTI support?

BUKTI currently supports the clause structure of ISO 9001, 14001, 45001, and 27001, with more of our 23 standards being added as early-access clients bring their certification scope. If your standard is not yet mapped, tell us when you sign up and we will prioritise it based on demand.
